How we handle your information

Last updated 23 October 2026.

Stride Solutions Pty Ltd ("Stride", "we") is a software company in South Yarra, Victoria. This policy explains what personal information we collect through this website and our client services, why, and what we do with it. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

What we collect

When you send an enquiry. Your name, email address and whatever you write in the message.

When you use our AI voice assistant. Your name and email address, a written summary of your project that the assistant records during the conversation (for example the type of project, budget or timeline if you mention them, and a preferred time for a call), and a written transcript of the conversation: what you said and what the assistant said. We also record when the call started and ended. Your voice is processed live to run the conversation and to produce the transcript. We do not record or keep the audio.

When you use our client portal. Your name, username, email address, company and phone number if given, the support tickets, replies and files you submit, and when you last signed in. If you sign in with a Microsoft work account, we receive your name, work email address and an account identifier from Microsoft. We never receive your Microsoft password.

Technical information. When you send an enquiry, start a voice session, sign up or sign in (including failed sign-in attempts), we record your IP address and the approximate location and network provider it belongs to (for example "Melbourne, Victoria, Australia · Telstra"), your browser, operating system and device type, your browser's language, and the time. We use this to understand who is getting in touch, to follow up properly, and to protect accounts and our services from misuse. We also keep standard server logs, and we use Cloudflare Turnstile to check that forms and voice sessions are used by people rather than bots.

Cookies. This site sets two first-party cookies. stride_vid is a random identifier with the date of your first visit, kept for a year, so we can recognise a returning visitor and connect a later enquiry to an earlier one. stride_src records where you first came from (the referring website, the page you landed on and any campaign tags in the link), kept for 90 days. They are only read when you contact us, sign up or sign in, are never shared with advertisers, and you can delete them in your browser at any time. The client portal also uses essential cookies to keep you signed in. We don't use advertising or third-party analytics cookies.

How we use it

  • to reply to your enquiry and discuss your project
  • to provide support to our clients through the portal
  • to protect our services and your account from spam, abuse, excessive use and unauthorised sign-in attempts
  • to understand how people find us, for example which website or campaign led to an enquiry
  • to check the AI assistant's answers and improve it, by reviewing its summaries and transcripts

We don't sell personal information, and we don't use it for unrelated marketing without your consent.

The AI voice assistant

The assistant is automated software, not a person. It can make mistakes, and nothing it says is a quote, a commitment or professional advice. Our team confirms anything that matters in writing. Please don't share passwords, payment details, health information or other people's personal details with it. If you'd rather not talk to an AI, use the enquiry form or email us.

Who else handles it

We use these service providers to run the site and its services. Some process information outside Australia.

  • Microsoft Azure: hosting, data storage and email delivery (data stored in Australia)
  • Cloudflare: website security and bot checks (global network)
  • LiveKit: real-time audio for voice sessions
  • Deepgram: speech-to-text for voice sessions (United States)
  • OpenAI: the language and voice models behind the assistant (United States)
  • DB-IP: a location database we download and use on our own servers to look up the approximate location of an IP address. Your information is not sent to DB-IP. IP geolocation by DB-IP.

We choose providers whose terms restrict them from using your information for their own purposes.

How long we keep it

Enquiries and voice-assistant summaries and transcripts: up to 2 years after our last contact with you. Client portal records: for as long as you are a client and for 7 years after, to meet our record-keeping obligations. Technical information recorded with an enquiry, voice session or sign-up: as long as that record. Sign-in records: up to 2 years. Rate-limiting records: up to 30 days.

Security

Information is encrypted in transit and stored with access limited to the people who need it. Portal passwords are stored as one-way hashes. No system is perfectly secure, and we will tell you, and the Office of the Australian Information Commissioner where required, if a data breach is likely to cause you serious harm.

Your choices and rights

You can ask to see or correct the personal information we hold about you, or ask us to delete it, by emailing info@stridesolutions.com.au. We'll respond within 30 days. If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Office of the Australian Information Commissioner at oaic.gov.au.
